Oklahoma Cancer Specialists and Research Institute is seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide high-level administrative support to executive leadership and physician teams. This position requires an individual who thrives in a fast-paced healthcare environment, exercises sound judgment, anticipates organizational needs, and manages multiple priorities with minimal supervision.
The Executive Administrative Assistant will serve as a key operational support role throughout the organization by coordinating executive workflow, assisting with physician scheduling and time-off management, streamlining administrative processes, and supporting a variety of organizational initiatives and projects.
Essential Duties and Responsibilities
Provide comprehensive administrative support to executive leadership and physician teams
Coordinate and maintain complex calendars, meetings, appointments, and organizational schedules
Manage physician on-call schedules, time-off requests, and related scheduling coordination
Prepare meeting agendas, reports, presentations, spreadsheets, and supporting materials
Maintain professional communication and contact management with internal and external stakeholders
Assist leadership with prioritization of projects, deadlines, and workflow management
Participate in organizational projects and operational initiatives across departments
Identify opportunities to improve administrative efficiency and help streamline processes through technology and automation
Coordinate confidential information and sensitive matters with professionalism and discretion
Assist with tracking projects, action items, and follow-up communication to ensure timely completion
Support executive and physician teams with day-to-day operational needs throughout the organization
Qualifications
High school diploma or equivalent required
Associate degree in Technical Writing, Business Administration, Healthcare Administration, or related field preferred
Minimum of five (5) years of executive-level administrative support experience required
Previous experience supporting executive operations within the healthcare industry preferred
Strong organizational, multitasking, and time management skills
Exceptional written and verbal communication abilities
Advanced proficiency in Microsoft Office applications and general technology platforms
Must be highly tech savvy with the ability to quickly learn and adapt to new systems and software
Ability to work independently while exercising critical thinking and sound decision-making skills
Demonstrated ability to handle confidential information with discretion and professionalism
