Position Summary: The Maintenance Analyst I provides technical and administrative support
for the Facilities work order system, ensuring accurate entry, tracking, and communication of
maintenance requests across the district. This position supports daily operations by proc essing
work orders, coordinating communication between departments, and maintaining accurate
records and reporting.
This role works under general supervision and is responsible for supporting efficient
maintenance operations and customer service across district facilities. The Maintenance Analyst
I serves as a primary point of contact for incoming service requests and ensures work orders
are dispatched, tracked, and closed accurately. This position is part of the Operational
Contributor career track within the Maintenance department.

Minimum Qualifications:
Education:
● High school diploma or GED equivalent required
● Associate’s degree or coursework in business administration, office management, or related field preferred
Experience:
• Minimum of two (2) years of experience working in an office environment handling
clerical or administrative duties
• Experience with work order systems or computerized maintenance management
systems (CMMS) preferred
• Experience in a school district or public facilities environment preferred
Licenses and Certifications:
• Valid Oklahoma driver’s license preferred
• No additional certifications required
Knowledge, Skills, and Abilities:
• Proficiency with Microsoft Office Suite and Google Workspace
• Ability to learn and use computerized maintenance management systems (CMMS)
• Strong verbal and written communication skills with a professional and courteous demeanor
• Strong organizational skills with attention to detail and ability to maintain accurate
records
• Ability to prioritize tasks and manage multiple work streams under general supervision
• Ability to identify problems, anticipate needs, and apply logical reasoning to resolve issues
• Ability to work effectively in a fast -paced environment with frequent interruptions
• Ability to communicate and coordinate effectively with maintenance staff, school personnel, and vendors
• Strong customer service skills with the ability to handle requests from diverse stakeholders
• Ability to learn new systems and processes quickly and apply them consistently
Responsibilities and Essential Functions: The following duties are representative of
performance expectations. A reasonable accommodation may be provided to enable a qualified

• Process online, email, and phone service requests into work orders using the district’s
CMMS
• Dispatch work orders to appropriate Facilities personnel based on request type and
urgency
• Prioritize incoming work orders and elevate urgent requests based on the nature of the
service need
• Process completed work orders and follow up on missing or unfulfilled data with shop personnel
• Answer all incoming email and phone calls in a timely, courteous, and professional
manner
• Communicate work order requests to other district departments as appropriate, including
Information Technology, Campus Police, and Child Nutrition
• Submit maintenance requests to vendors as needed and track vendor response and
completion
• Prepare reports and maintain accurate records related to work order activity, completion
rates, and department operations
• Sort and distribute all interoffice and general mail daily
• Maintain daily visitor logs and support front desk operations for the Maintenance office
• Assist the administrative assistant and Maintenance leadership with general office duties
as needed
• Process information requests and support the coordination of tasks across multiple
Facilities work streams
• Maintain organized filing systems and records for departmental documentation
• Support the preparation of departmental reports, correspondence, and informational materials
• Ensure consistent communication and documentation standards for all work orders district -wide
• Provide elevated levels of customer service to meet varying team and stakeholder needs
• Identify and communicate process improvements related to work order handling and
office operations
• Maintain confidentiality of sensitive information and follow district policies and
procedures
• Support onboarding of new department staff by providing system access information and
procedural guidance
• Participate in department meetings, trainings, and professional development as required
• Maintain current knowledge of CMMS functionality, district processes, and departmental procedures
• Perform other duties, tasks, or services consistent with this position as assigned
Customer Contacts:
● Internal: Maintenance staff, Forepersons, Maintenance Manager, and district Facilities
leadership
● External : School site administrators, staff, contracted vendors, and community members
Supervisory Responsibility:
• This role does not directly supervise any employees
• Works under the general supervision of the Maintenance Manager
Working and Physical Conditions: The physical demands and work environment
characteristics described here are representative of those an employee may encounter while
performing the essential functions of this position. Exposure to the following conditions may
range from rare to frequent based on circumstances and factors that may not be predictable.
• Work performed primarily in an office environment at the Maintenance facility
• Occasional travel to district sites may be required
• Extended periods of sitting and computer use
• Frequent use of telephone, computer, and standard office equipment
• Ability to communicate effectively in person, by phone, and through electronic
communication systems
• Ability to lift and carry office materials such as files, supplies, and mail (up to 25 pounds)
• Exposure to typical office noise levels and frequent interruptions
• Occasional interaction with maintenance environments when visiting shop areas
• Occasional standing, bending, and walking within the office and maintenance facility
• Willingness to work non- standard hours as needed to support department operations
